Many HR Managers and personal are faced with the problem of creating HR manuals for a startup organization. Moreover many professionals don’t anticipate cultural differences that may arise from a diverse workforce.

A good HR policy focuses on an individual employee as well as the organization as a whole. An organization that has a strong and unambiguous HR policy for their employees will flourish and its workforce will have the highest job satisfaction. Here are some simple steps that can help you create a strong HR policy for your organization:

Step 1: Identify the Audience

The first step is to identify the audience which in this case is the workforce. The policy needs to cater to all levels of employees from the Chief Executive to guard at the gate. Moreover if the workforce is diverse both ethnically & religiously then your policy needs to cater to all those employees as well.

Step 2: The Goals/Mission of Organization

The next step in creating the HR policy is to outline the goals of the organization and strategize it to provide the employees with a policy that sits well with the management and the employees are also satisfied with it.

Step 3: All Organizational Policies

The next step is to create all the HR policies that include hiring, dress code, public holidays, termination, leaves, benefits & compensations, performance, harassment, increments and complaint procedures. Each of these topics need to be covered thoroughly and precisely with all the details.

A vague statement in these topics will cause ambiguity and different employees will interpret things differently. Organize the policy manual into different chapters and use a standard template to write the HR policy.

Step 4: Discuss The Policy Draft With Legal Team

Once the policy is complete and your first draft is ready, discuss it with the legal team to ensure that there are no loop holes within it and that it follows all government regulations of your country. Remember, if the policy has some loop hole and doesn’t comply with government regulations then your company is open to a lawsuit.

Step 5: Finalize & Distribute

The last and final step is to finalize the draft and implement the changes if any recommended by the legal department and management. Once the changes are made get the final approval and signature from the head of the company.

Print the HR manual and distribute it to the employees, however it is recommended to create a PDF file and distribute it electronically. Moreover you can also schedule a general session with the employees and explain them about the HR policy and answers any questions that they might have.

Organizations tend to grow with time and their workforce, needs and other operations change as well. In such cases you can change the policy from time to time and update the workforce accordingly.

Conclusion

The HR policy is a necessary element of any organization and its functions. Whether your organization is small or large it is always recommended to create the HR policy to serve as a roadmap for your employees.
